Payment Terms

The following terms and conditions are applicable for the Luo Convention 2025 registration.

  • Registration to the Luo Convention does not include such things as travel and accommodation. Delegates are responsible for arranging their own travel and accommodation (see the Accommodation page of the event for suggestions).
  • Registration fees may be paid by credit card (VISA, MasterCard or American Express), or by cheque (payable to “LUO Foundation.”) except for payments from Uganda that may have Mobile money and direct bank deposit options.
  • Registering for this convention secures a space for you at the event, subject to overbooking. Unless an additional participation fee is specifically noted in the registration system, any meals provided at the event are included in the Convention registration fee.
  • Online registration more than 12 weeks prior to the Convention is strongly encouraged. While every effort is made to anticipate onsite registrations, there is no guarantee of space availability, nor the availability of distributed Convention materials for onsite registrants. In this case, participation/materials are allocated on a first-come, first-served basis.
  • Registration will not be confirmed until payment is received in full. Any bank charges incurred (including any credit card charge-backs for challenged registrations) must be paid by the sender and not the Convention Secretariat.

To be eligible payment must be received no later than March 31, 2025 11:59 pm (midnight) EDT.

Online registration closes by March 31, 2025, 11:59 pm (midnight) EDT.

Acknowledgements

The Convention Secretariat will send via e-mail a confirmation for the Convention registration and acknowledgement of payment once full payment has been received and processed.

Online registrations with credit card payments are processed and confirmed immediately by e-mail.

Cancellations

Registration cancellations are permitted subject to these conditions;

  • Registration cancelation is only accepted in writing by emailing the Convention Secretariat at convention@luofoundation.org
  • Registration cancelation will not be processed after January 31, 2025.
  • Registration cancelation will not result into a refund, registration fee is non-refundable. Registrants will however be able to carry registration fee to one subsequent convention that is immediately preceding. To be eligible, this must be submitted in writing to Luo Convention no later than January 31, 2025, 11:59 pm (midnight) EDT by email to convention@luofoundation.org
  • You can transfer registration rights to another person to attend on your behalf as long as this request for transfer/registration is presented in writing before January 31, 2025 11:59 pm (midnight) EDT.
  • No substitutions, extensions of registration eligibility shall be accorded when no notification is received in writing or for no-shows on-site.

Refund Policy

  • Registration fee payments are non-refundable.
  • Sponsorship, grants are subject to mutual discussion, among the parties.
